More4apps (we, us, our) complies with applicable privacy and data protection laws when dealing with personally identifiable information (PII). PII is information about an identifiable individual (a natural person).

We collect your PII from:

• You, when you provide that information to us via our website, when you raise a support request via our helpdesk, when you attend a conference or are scanned at our conference booth, when you use or buy our products and services, or through any other contact with us (e.g. telephone call, email, face-to-face meeting or business card).
• Third parties, where you have authorised this or where the information is publicly available.
• If possible, we will collect PII from you directly.

We may collect the following types of PII from you:

4.1 — PII you provide directly to us

• When you download our products: your name, phone number and email address.
• When you request product support via our website or helpdesk: your name, phone number, email address, and any other information you provide.
• When you make a general enquiry via our website: your name, email, phone number, and any contact information you provide.
• When you subscribe to our mailing list or newsletter: your name, email address and any other information you provide.
• When you attend a conference or are scanned at our booth: your name, email, phone number, and any other information you share.
• Through any other contact with us (call, email, face-to-face meeting, business card): any information you provide.
• When you participate in customer surveys: any information contained in your survey responses.
• Any other information required to provide our services.

4.2 — Information collected during your use of our website

This includes the partial IP address of your computer, what pages you visited, how often you visited them and when. This information is collected using Google Analytics and HubSpot. For further information please refer to our Cookie Policy.

4.3 — Email engagement

If you receive emails from us such as our newsletter, we collect information about your interaction with those emails, including read rates, link clicks and when you opened them.

4.4 — Information from third parties

PII collected from third parties where you have authorised this, or where the PII is publicly available — such as through LinkedIn.

4.5 — Cookies and similar technologies

We use PII you provide directly:

• To provide our website, products and services, including technical support or product information.
• To verify your identity.
• To send you marketing information about our company, products and services. You can opt out by following the unsubscribe instructions in those communications.
• To follow up by phone or email on any interest you expressed in our products or services at a conference or after being scanned at our booth.
• To improve our website, products and services.
• To respond to your communications, including support and download requests.

We use information generated by your use of our website, products or services to:

• Monitor performance and ensure our website, products and services work as intended.
• Maintain security and system integrity.

We may also combine information we collect (aggregate) or remove personally identifying details (anonymise) to conduct research and statistical analysis. This Privacy Policy does not apply to our use of such aggregated or anonymous information.

We may additionally use your PII:

• To protect and/or enforce our legal rights and interests, including defending any claim.
• For any other purpose authorised by you or applicable law.

No automated decisions. We do not use your PII to make any automated decisions or to profile you.

• Any business that supports our business, including any person that hosts or maintains an underlying IT system or data centre we use. These currently include Google Analytics, Salesforce, HubSpot, and BriteVerify.
• Our professional advisers (accountants, lawyers, auditors, website developers, consultants).
• Any other person authorised by you.
• Any other company in the case of a sale, merger, consolidation, liquidation, reorganisation or acquisition.

We may disclose research and statistical analysis derived from your PII to third parties on an anonymised basis.

We may also disclose PII if we believe disclosure is necessary to comply with legal requirements or process, protect our rights or property, or enforce this privacy policy or any other agreement with you.

We share information about your use of our website with trusted analytics partners through cookies, web beacons and similar technologies. Please refer to our Cookie Policy for further information.

No automated decisions. We do not use your PII to make any automated decisions or to profile you.

A business that supports our website, products or services may be located outside the European Economic Area (EEA). This may mean your PII is held and processed outside the EEA. Please see the GDPR Addendum below for further information about personal data transfers from the EEA.

We will take reasonable steps to keep your PII safe from loss, unauthorised activity, or other misuse. We implement appropriate technical and organisational measures to ensure a level of security appropriate to the risks inherent in processing PII. More4apps ICT devices, storage and channels are subject to continuous monitoring, logging analysis and audits. We regularly review and update our security systems to maintain the integrity of our security posture.

You can play an important role in keeping your PII secure by maintaining the confidentiality of any password used in relation to our products and services. Please do not disclose your password to third parties. Please notify us immediately if there is any unauthorised use of your account or any other breach of security.

Subject to certain grounds for refusal set out in applicable law, you may have the right to access readily retrievable PII that we hold, and to request a correction. Before you exercise this right, we will need evidence to confirm that you are the individual the PII relates to.

For a request for correction, if we think the correction is reasonable and we are reasonably able to change the PII, we will make the correction. If we do not make the correction, we will take reasonable steps to note on the PII that you requested it.

While we take reasonable steps to maintain secure internet connections, if you provide us with PII over the internet, the provision of that information is at your own risk.

If you follow a link on our website to another site, the owner of that website will have its own privacy policy relating to your PII. We suggest you review that policy before you provide PII.

If you are based in the European Union and use our website or otherwise deal with us, the additional terms in this GDPR Addendum form part of our privacy policy. The General Data Protection Regulation (GDPR) regulates the collection, processing and transfer of EU individuals’ personal data. The PII described in this policy is personal data under the GDPR. For the purposes of this Privacy Policy, references to the ‘GDPR’ encompass both the European Union General Data Protection Regulation (Regulation (EU) 2016/679) and the UK General Data Protection Regulation (UK GDPR), read alongside the UK Data Protection Act 2018. References to the ‘EEA’ or ‘Europe’ should be read to include the United Kingdom.

Your GDPR rights

International transfers

We may transfer EU individuals’ personal data from the EU to More4apps entities in the UK, New Zealand, Australia or the USA. The More4apps group consists of More4apps NZ Limited, More4apps UK Limited, More4apps Pty Ltd, and More4apps INC. New Zealand is recognised by the European Commission as ensuring an adequate level of data protection. More4apps INC has entered into Standard Contractual Clauses as published by the European Commission.

International Data Transfers: We operate globally. If you are located in the UK or the EEA, your personal data may be transferred to, and processed in, countries outside of those regions, including New Zealand and the United States.

• When transferring data from the UK/EEA to our headquarters in New Zealand, we rely on the formal ‘Adequacy Decisions’ granted to New Zealand by both the UK Government and the European Commission.
• For transfers to other jurisdictions (such as the US), we ensure appropriate safeguards are in place, such as utilizing the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses (SCCs).

Data retention

Personal data we collect and process will not be kept longer than necessary for the purposes for which it is collected, or for the duration required for compliance with applicable law, whichever is longer. We securely destroy personal data at the end of any retention period. Marketing data is deleted after 2 years of inactivity.

Children

We do not intend to collect personal data from children under 16. If you believe a child under 16 has provided personal data to us, please email our Privacy Officer.
